The Conference for Undergraduate Women in Physics UK (CUWiP UK) is a three-day conference bringing together undergraduates who identify as women. We aim to provide a respectful, safe and inclusive environment for all participants, regardless of sexual orientation, disability, appearance, ethnicity, race, national origin, age, religion, or any other protected categories under applicable law.
The present Code of Conduct is not a legal document or prescriptive. It supplements but does not affect the application of other relevant policies, regulations, rules and laws in agreement with the University of Southampton. CUWiP UK 2021 complies with such policies and will report all inappropriate conduct accordingly. If participants are provided with personalised credentials allowing them access to the online conference, these are personal and non-transferable. Non-registered individuals will not be able to access the online conference unless upon prior agreement with the Organizing Committee. Throughout the whole online conference, CUWiP UK 2021 expects that participants interact with fellow attendees in the same way as at a physical conference.
Be kind and courteous.
Expected behaviour
- Be active in your participation. We encourage you to help us build a friendly environment where all can exchange ideas, learn, network, and socialize in colleagues’ company in an atmosphere of mutual respect. Treat everyone with respect and consideration, valuing a diversity of views and opinions.
- Be patient and considerate of those with non-typical background noises (children, pets and partners).
- Respect the intellectual property of speakers, poster presenters, workshop’s and lab tours’ contents.
Unacceptable behaviour
- Physical or verbal abuse of any kind.
- Unwanted sexual advances, jokes, or comments.
- Other examples of unacceptable behaviour include, but are not limited to: unwelcome slurs, jokes or verbal, graphic, or physical conduct relating to an individual’s race, colour, religious creed, sex, national origin, ancestry, citizenship, age, gender or sexual orientation; verbal comments or electronic communication that reinforces social structures of domination (such as related to gender, gender identity and expression, sexual orientation, disability, physical appearance/size, race, age, religion, nationality) or other offensive, non-inclusive remarks; and deliberate intimidation, stalking or following others, verbal abuse, aggressive verbal confrontations, and threats of violence and disruptive behaviour.
- Disruption of talks at oral, poster sessions and lab tours.
Digital images and social media
We ask that all participants fully engage with the sessions: that means putting your phone down and closing your e-mail. Do not take screenshots of slides or posters, and do not record any of the talks. While we encourage your participation on our social media, respect other participants’ privacy and refrain from any unauthorized or unwelcome recording or photography, including the recording of any direct or indirect interactions or electronic messaging with other meeting delegates. We will share the meetings password personally, do not share this information publicly or with not registered attendees.
Reporting unacceptable behaviour
If you are the subject of unacceptable behaviour or have witnessed any such action, please report to us at cuwip2021@soton.ac.uk. Or talk to any member of the Organising Committee on any of our platforms (Zoom, GatherTown or Slack).
We are grateful to ChiralMat2021, SPIE and the A2IC2020 for sharing their Codes of Conduct.
